1. Controller and contact
The organization responsible for the website and the personal information described in this policy is Myrelqorianessa Orienteering Club Inc., with an office at 275 Slater Street, Ottawa, ON K1P 5H9, Canada. Privacy questions may be sent in ordinary text to info@myrelqorianessa.com or raised through the website contact form.
For Canadian visitors, this policy is intended to reflect applicable Canadian private-sector privacy principles, including transparency, appropriate purposes, limited collection, safeguards, access, and correction. Where the EU General Data Protection Regulation or the UK GDPR applies because of the circumstances of a visitor or processing activity, the additional rights and legal-basis explanations below are intended to address those requirements.
2. Scope of this policy
This policy applies to information handled through the public Myrelqorianessa website, including general enquiries, membership-interest messages, and related correspondence. It does not create a broader club registration system, online payment service, advertising network, or third-party profiling service.
The website does not use third-party advertising services or embedded external media to build behavioural profiles as part of ordinary page display.
3. Information we may handle
Information you choose to provide
If you complete the enquiry form, the fields may include your name, email address, experience level, enquiry topic, and the message you write. If you later correspond with the club, additional information may be contained in that correspondence when you choose to provide it.
Basic technical information
A web server used to publish the site may generate routine connection logs such as time of request, requested path, approximate network information, browser or device information, and diagnostic status codes. The exact server-log configuration depends on the hosting environment in which the static project is deployed.
Information we do not ask for through this website
The public enquiry form is not intended for government identifiers, payment-card details, passwords for other services, or other information that is unnecessary for a basic club enquiry. Please do not include such information in the free-text message field.
4. Purposes and legal bases
Information may be handled for the following limited purposes:
- to understand and respond to an enquiry about Myrelqorianessa, its activities, or membership;
- to provide requested practical information about a session or course format;
- to maintain necessary correspondence records and avoid losing the context of an ongoing request;
- to maintain website security, diagnose faults, and protect the availability of the site;
- to meet obligations that apply to the organization under applicable law.
Where GDPR-style legal bases apply, responding to a visitor's request may rely on steps taken at the visitor's request before entering an arrangement, performance of an arrangement where relevant, legitimate interests in operating and protecting the website and managing genuine enquiries, compliance with legal obligations, or consent where consent is specifically requested and is the appropriate basis. When consent is the basis, it may be withdrawn for future processing without affecting processing that was lawful before withdrawal.
We do not use the enquiry form to make solely automated decisions that produce legal or similarly significant effects.
6. Retention
Information is kept only for as long as reasonably needed for the purpose for which it was handled, including responding to the enquiry, maintaining appropriate records, resolving disputes, and meeting applicable recordkeeping obligations. A simple enquiry that does not lead to an ongoing relationship generally does not require indefinite retention.
Retention periods may differ when a message becomes part of a continuing membership or organizational record. When information is no longer reasonably required, it may be deleted, anonymized, or securely archived where continued retention is legally required.
7. Your privacy rights
Depending on where you are located and which law applies, you may have rights to request access to personal information, correction of inaccurate information, deletion in qualifying circumstances, restriction of certain processing, objection to certain processing, portability of information you supplied in a structured format where the legal conditions are met, and withdrawal of consent where consent is relied upon.
You may also have the right to complain to an applicable privacy or data-protection authority. For visitors covered by GDPR-style rules, requests are normally handled without undue delay and within the periods established by those rules, subject to lawful extensions or verification requirements.
To protect information from unauthorized access, we may ask for proportionate information to confirm identity before fulfilling a rights request. A request can be made using the contact information in Section 1.
8. Security and data minimization
We apply reasonable organizational and technical measures appropriate to a small informational website and enquiry workflow. Measures may include access limitation, limited data collection, secure service configuration, regular maintenance, and periodic review of authorized access where appropriate.
No internet transmission or storage method can be guaranteed to eliminate every risk. Visitors should therefore avoid placing unnecessary confidential information in general enquiry messages.
9. International access and transfers
The organization is based in Canada, while the website may be accessible from other countries. If information is processed in a country different from the visitor's country, privacy laws and access rules may differ. Where GDPR-style transfer restrictions apply, the organization will use an available lawful transfer mechanism when one is required, together with appropriate supplementary measures where relevant.
10. Younger visitors
The public website is intended as general information about a sport orienteering club and is not designed to build profiles of younger visitors. Where a person is not legally able to provide the necessary authorization for a specific club process, an appropriate parent or guardian may need to be involved in that process. The general website contact form should be used only with information appropriate for the enquiry.
11. Changes to this policy
We may update this policy when website functions, legal requirements, or organizational practices materially change. The revision date at the top of the page identifies the current published version. Material changes will be reflected in the text before the revised policy is used as the site's current notice.
